The Office Administrator/Sales Support role is responsible for ensuring the smooth operation of the office, providing high-quality support to sales and property management teams, assisting clients and agents, and maintaining office presentation and marketing standards. This role combines administrative, client service, sales support, and office facilities management duties, and plays a key role in supporting the day-to-day efficiency and professionalism of the office.
Office & Facilities
- Maintain office presentation, supplies, meeting rooms, and window displays.
- Support office opening and closing, work experience, and WHS compliance.
Client Service & Administration
- Manage reception, phone calls, and email enquiries.
- Provide general admin support, onboarding set-up, and document filing.
Sales Support
- Process listings, sales documents, and update key sales resources.
- Prepare open home and auction materials and upload documents to systems.
Property Management Support
- Assist with enquiries, key handling, and weekly property updates.

This is a fantastic opportunity to join Ray White Upper North Shore & Northern Beaches with a supportive, vibrant and fun team. As a Sales Assistant to a high-performing real estate agent you will need to be enthusiastic, organised and take initiative. You will support the agent with various day to day duties including administration, marketing and organisational tasks.

Your day to day duties would include:
- Diary Management – Booking appointments
- Liaising with the marketing & administration team
- Email management
- Manage vendor, buyer enquiry, solicitors
- Data entry into CRM
- Scheduling and assisting with open inspections
- Vendor reports
- Preparation of sale documentation and processing for admin team
- Submission of presentation requests for administration team
- Preparation of pre-listing kits
- Ensure compliance procedures are followed and documentation completed
- Attend / coordinate Pre-settlement | Pest & Building inspections
- Coordinating / attending professional photos / floorplans, property videos, marketing material and agent branding
- Client service
- Use of Real Time Agent & ProcessPlan
- Other ad hoc administration duties
Our ideal candidate will have the following:
- A passion for customer service
- Some previous administration or assistant experience (preferable but not required)
- Exceptional communication skills both verbal and written
- Computer skills – MS Office suite / Gmail / general computer savviness
- An ability to multi task and manage time efficiently
- A team player
- Current drivers license and a car

Requirements:

- Certificate of Registration or Real Estate License
- Vehicle & license
- An understanding of the real estate sales process and legislation
- Excellent communications skills – both verbal and written
- Highly motivated with the ability to work both independently and in a team
- The ability to manage and complete high volumes of work
These roles are Monday-Saturday roles with one day off during the week as negotiated with the sales agent.

Ray White Upper North Shore is seeking a property management professional to join our award winning team.
This is an opportunity for a Leasing Agent to advance their career, with the aim of progressing to a Property Manager role in the future.
About the role:
- Supporting our Property Managers in the day to day management of their portfolios
- Assisting with booking and conducting routine and ingoing inspections
- Performing other administrative tasks as required
- Monday to Friday role with a Saturday roster (1 in 9)
